This checklist will walk you through the steps needed to prepare and upload your contact list as well as create smart lists.

(Optional) How to get doTERRA Contacts out of Back Office

This section is for doTERRA Wellness Advocates. We will show you how to get your contacts from the Back Office.

  • Log into your Back Office
  • Go to Detailed Genealogy
  • Select the Columns you want to import information

    Under the Columns Tab, select the columns you will want to import then update the report.


    Suggestions for Columns to select:

    Member ID

    Name

    Member Type

    Rank

    LRP

    Enrollment Date

    Sponsor ID

    Enroller ID

    Home Phone

    Cell Phone

    Address

    City

    State

    Postal Code

    Region



  • Copy Info Into a Google Sheet

    Here is a video to show you how to copy contacts from the back office into a google sheet:


    1. Highlight all Columns and rows.
    2. Copy and paste into a Google Sheet.
    3. Only 200 contacts will appear at a time. Repeat this copy and paste process for each page set you have.
    4. Delete the extra headers within your spreadsheet so they only appear at the top.

Step 1: Prepare Your Contact List

In this section, we'll walk you through the steps to prepare your contact list for upload.

  • Brainstorm Tags

    Before you upload your contacts, you want to think about the different tags you'll be using NOW. Otherwise, months to a year from now, you may have a conglomerate of different tags. So we recommend thinking about which tags you will want to use before you begin.


    Tag suggestions for dōTERRA Wellness Advocates:

    dōTERRA Wholesale Customer

    dōTERRA Wellness Advocate

    dōTERRA team member (if they are an active builder working the biz)

    dōTERRA qualifier for _______ (put name of leader) 

    dōTERRA retail customer

    dōTERRA prospect

    dōTERRA my personal enrollment

    dōTERRA team enrollments

    dōTERRA - downline team (one for each team's downline)

    dōTERRA current LRP Oct 2023 (I do this for each month)

  • Add Custom Fields

    Go to Settings, then Custom Fields

    Click "+Add Field"

    For Contacts, select "Single Line"

    Add the Field Name (see Suggestions below)

    Select Group of where you want it (typically General Information or Additional Information for this)

    Press Save.


    Suggestions of Custom Fields for Wellness Advocates:

    dōTERRA ID

    Enrollment Date (this would be good if you want to send a dōAnniversary note)

    Sponsor ID

  • Add Contact Info to Google Sheets

    First Name, Last Name, Address, City, State, Zip Code, Country, Phone Number, Email, and any other columns of information you want to have added.

  • Add Contact Tags to File

    In your Google Sheet Contact File, add the tags you brainstormed earlier to each contact.

  • Download Google Sheets file as .csv

    In Step 2 we will show you how to upload your file into Social Fox but it needs to be a .csv file.

Step 2: Uploading Your Contacts

In this section, we will take you through how to upload contacts - either individually or bulk upload.

  • Upload a Single Contact

    You want to do this so that you can text or call from your Social Fox number right away (instead of waiting for a bulk upload).


    Go to Contacts and in the top right side,  click the “+” sign in the top left corner and fill in the information. Be sure to add any tags you want as well.

  • Bulk Upload Contact List

    This is how you will do your initial upload of contacts. dōTERRA Wellness Advocates, you may want to do monthly uploads as well of all new enrollments.


    Go to Contacts and find the Import icon (an upward-pointing arrow)

    Click “Upload a file” or use drag-and-drop and add your .csv file from the previous step in here.

    Pick the fields to specify how the data will fit into Social Fox’s fields

    Assign an import name. Example: Original Contact Upload - 10.16.23

    Click "Submit" to finish.


Step 3: Creating & Using Smart Lists

In this section, we will take you through the steps to create smart lists.

  • Go to Contacts
  • Select Tag to Create List

    Go to "More Filters" then go to "Tag" and and then "is" and type in the tag you want to use and click "Apply".


  • Save as a Smart List

    Once the tag is selected, it will then filter and at the bottom of that box you will see "Save as a Smart List". Click that button and name your list. That list will then appear at the top and any time that tag is added to a contact they will automatically be added to the list.

  • Example and Video

    Example: You want to create a smart list for you Prospect Weekly Email so you go to Contacts then "More Filters" then select "Tag" then "is" and in the box type "prospect". Then press the button to create a Smart List titled "Prospect Weekly Email List". Now every time you add a new prospect, tag them "prospect" and they will be automatically added to this list.
